In our previous blog post, we looked at workflow templates in Microsoft Dynamics 365 Business Central. Once you enable these workflows, there are some slight configurations. There are a lot of articles available on how to do it – Microsoft’s user manual for approvals is a great resource!
How to set up Workflow Users
The first step is to set up your actual workflow users and then the approval user setup. Under ‘Workflow User Group’ page, you can set up the workflow users and specify their order or hierarchy in an approver chain. To set up a flat workflow user group, assign the same ‘Sequence No.’ to approvers. This is beneficial when you want to make sure multiple equal approvers have approved the request.
How to set up Approval Users
Next, you set up approval users under ‘Approval User Setup’. Workflow users who will be functioning as approval users, must also be a part of Approval User Setup. Here you can define the approval limit for each user and also set substitute approvers. It can go up the chain and you can approve various levels based on your approval limits.
For example, you can set the department head with a purchase amount limit of $10,000 and CFO with an amount limit higher than that. In this case, any request above $10,000 will go to the CFO.
There can only be one approval administrator. The next step is to set up workflow notifications and create workflows.
