“In this video, we will go over the budgeting feature in Dynamics 365 Business Central. The budgeting feature is exactly what it sounds like – it allows us to create a budget, and then we can use that budget to compare to the actual.
In this demo, we’ll create a budget by G/L account and compare the postings to our budget. To get to the budgets, there are a couple of ways. Right now, we are in the Accountant role center. You can see that we have ‘Budgets’ on our home screen. If you’re not in that role center, we can search up ‘Budgets’ and then find the ‘G/L Budgets’. From this screen we will create a new budget.
For this demo, we will create a very simple budget. Click ‘New’ and we’ll put the Name as the year ‘2021’ and Description as well. We have the option to input some dimensions – we have 2 global dimensions and 4 specific budget dimensions, and so this is pretty flexible. We can add in our dimensions. We’ll keep this very simple and use these two global dimensions. So now that its created, we can quit editing the list and then go into our budget.
In this budget screen, we have some sections here – the General section, the Budget Matrix and the Filters section.
In our General section, we have the Budget Name. This allows us to choose the format of how we display our data. So right now, we have the lines showing us by G/L account and our column is by periods. We have a monthly period here. We can change this to the dimensions we’ve set up. We’ll keep this as the G/L account and then we can change the columns as well as the dimensions. We’ll keep this by Period, and we can change this period by Quarter or by Year, Day, Week. We’ll go ahead and put this to Quarter. We’ll see in our Budget Matrix that we have first quarter, second, third and fourth shown.
On the Filters, we can have a Date Filter for our budget. We have this one set up for the 2021 year. We can set up an Account Filter for what’s shown in our budget matrix. So right now, we have it filtered for the 6000 accounts. If you go click these three dots, it’ll show us our chart of accounts and if we hold control and click on what we want, we can choose random lines for our countless filters and that is what will show up in our budget matrix. Let’s go ahead and make this blank and now it’ll show everything that we’ve specified in our filter. We will keep the G/L Account Filter for the 6000 range so that will be 60001 to 61995. So now it’s filtering our 6000 accounts.
We can filter by Account Categories as well. These are all expense accounts, so we don’t really have to specify anything here. But if we didn’t have any account filters, we could filter by our expense accounts.
We have Income/Balance Account Filter and then we also have these Dimension filters as well. So, there’s a lot of room for flexibility of what we can filter, how we can configure our budget. Getting to the actual lines of the budget, we can ….”
