“In this session, we will go over setting up a posting date restriction. This is a pretty key feature in maintaining accounting control or beginning a month end process. Dynamics 365 Business central has two ways to control the dates.
In the first process, we can go to the General Ledger Setup. You’ll see here the first two fields, actually, is the Allow Posting From and Allow Posting To dates, and usually these two will not be left blank. This is our sandbox demo environment, but this is the date you will be frequently setting up for month end and adjusting once your periods are closed. And what this does is it sets a posting range in which you can post to the general ledger and this is kind of the global restriction so users will be set to post from this range.
So, I’ll go ahead and enter the month of September for this demo purpose. It’ll save automatically there. Note that you will be able to create purchase orders, sales orders and invoices, but you will not be allowed to post outside of this range.
For example: Let’s say we want to make a purchase invoice. We can create a new one. If we go ahead and let’s say make the posting date sometime in August, the month prior and fill in the other fields. Say we choose a test one here. So now, if you go ahead and Preview Posting, we’ll get this error here saying that the “Posting Date is not within your range of allowed posting dates” as we’ve specified, which is what we are trying to achieve with our control.
Another way we can actually set this control is by going to the User Setup. And what’s great about this is that we can set specific User IDs – users with licenses and we can set a posting date for individual user. Let’s say we have a global range of September, but we have folks from finance and accounting that we want to be able to post before our date, we can go ahead and set that up here.
So, I’ll go ahead and set myself up here. I will allow my user ID to post from August until the end of September here. And once you fill that in, it’ll save automatically. Now if we go back, my user ID should be allowed to post in August. So, if I go ahead and try this one more time and click on Preview Posting. It will show you that the system is now allowing me to post and this is the preview of the entries that will create. And so again, this is a pretty key function in Business Central to maintain your accounting controls and to start facilitating month end and this is definitely something that users should get familiar with.”
