In this video, I will demonstrate how you can merge duplicate vendor or customer records in Microsoft Dynamics 365 Business Central.
The following is a partial transcription of the video above:
“For this demo, I have setup a duplicate vendor record in the demo company. Most likely you’ll have many vendors, much more than this. And sometimes, I’ve seen customers forget that they’ve already had a customer setup and so they would create a new customer and enter in data from there. And so, they’ll have multiple vendors, multiple customers. It will just be messy overall.
What we can do is, we can take two master records and merge them together with the current information and we can get rid of the duplicate. If we go into the Vendor card -> More Options – > Actions -> Functions -> and Merge With…
This is what the screen looks like when you are merging duplicate record. Record lists. Let’s go and merge with. I know for sure that this 10010 Fabrikam is a duplicate. Maybe they are a customer I haven’t used in a while and so I forgot they were there, and I just created a new one. Let’s go ahead and select this and this what the fields look like. You can see the Current Value that you wish to keep on this column, and you can see the Alternate Value for the duplicate you chose.
Say this ‘Test Duplicate Contact’ is actually the most current contact, if you go ahead and click override, it will go ahead and create that as a new contact once we merge. We can review the data here. Let’s say it’s the only thing that’s current and everything is good to go. Let’s go ahead and click merge. And now it has been merged.
So, now in our vendor list that Fabrikam 10010 doesn’t show up anymore. Any historical data like posted entries for this vendor will now be merged with this current vendor Fabrikam, Inc. You can also see that the test duplicate contact, which we designated as the most current contact has been transferred in over. We can do that with our vendors or customers.”
